MS Office 101

Here's another cool tip for you keyboard enthusiasts - and I know you're out there!

Most people use the drop down menu to select a font size. It's quick and easy, but for those of you who hate the mouse and love the keyboard, did you know that you can change font size with a few keystrokes?

Well, you can and here's the combinations you're looking for:

  • Ctrl + Shift + > will increase font size.
  • Ctrl + Shift + < will decrease font size.

And for those of you who are new to the world of Microsoft, remember, you can highlight text by holding down the Shift key and using the arrow keys to move the cursor to the end of the section you want to highlight. Then you can...

  • Ctrl + B will bold text.
  • Ctrl + U will underline text.
  • Ctrl + I will italicize.

Put all of this together and you've got some pretty easy text formatting at your fingertips! Literally!

Office Tip of the Day

For the last couple of issues, we've dealt with MS Word and the ability to view and simultaneously work in several files at once.

Now I'd like to take some time to address these ideas in MS Excel.

Splitting Windows in Excel: Same File, 2 Panes

First of all, you can split a file in Excel so that you can work in two places of the same file simultaneously.

To split into two panes, either select a cell in column A or a cell in row 1 and then go to the Window menu, choose the Split choice. (Or no matter which cell is currently selected, you can grab and drag down into the worksheet the little splitter bar located above the vertical scrolling bar.)

The file will split into two panes (horizontal if in column A and vertical if in row 1) and you're on your way.

By clicking into either of the panes you will be allowed to copy/paste, edit or whatever in four different locations of the same file.

If you choose a cell not in column A or row 1, you will get 4 panes of the same file. Sounds great doesn't it?

It does, I know, but when I tested the navigation in the 4 pane split, I found that moving the cell selection in one pane it actually adjusted the location in two panes simultaneously. So, this method really doesn't give 4 different sections of the file, only 2.

Anyway, two views of the file are still extremely useful. Just think, you can accomplish your editing without the hassle of the endless scrolling back and forth among the rows and columns. This can truly be a miracle in those ever-growing monster sized files.

To remove the split, simply go back to the Window menu and choose Remove Split from the list.

Splitting Windows in Excel: Different Files, 2 Panes

Next, we'll look at doing the same thing yet with two (or more) different files!

Open the files on which you are working. Keep in mind, the more files open, the smaller the viewing space in each file. So open only what you need and close the rest.

Then go to the Window menu and choose Arrange from the list. A small window will pop up allowing you to choose how the files should be arranged on the screen.

  • Vertical will put them side by side.
  • Horizontal will put them one on top of the other.
  • Tiled will put them in a block of four (one in each corner, like playing a game of four square).
  • Cascade will layer the files one on top of each other (not really the point of this discussion).

It's all a matter of personal preference. Make a decision and click OK.

You should have all the files fitted perfectly into the screen. Now you're ready to work from file to file very quickly without the annoying window changing.

To remove this window arrangement, simply maximize one of the files either by Ctrl+F10 or clicking on the maximize button (the squares to the right of the X for closing a file).

An Excel Bonus:

Did you know it is possible to set Excel to open the set of files and place them in the arrangement you chose?

Yep, it is!

Simply open the needed files and arrange the windows.

Then go to the File menu and choose the Save Workspace choice.

Like usual, a Save window will come up where you can name your workspace. (Notice that in the Type Of File box, it says Workspaces instead of Microsoft Excel Workbook. This is what makes it different from saving a workbook. Now it saves the group of workbooks as a workspace.)

Now, the next time you need to work on that particular set of files simply open the workspace you created. Excel will automatically open all files and arrange them as you had them at the time of the last workspace save.

Never fear though! You can still edit the files separately. This just allows you to open and arrange multiple files with only one open.

Talk about a time saver! If only I could arrange the workspaces of my school children so quickly...
