Did You Know...

...that a paragraph in MS Word doesn't necessarily mean complete sentences and all that other stuff the English teacher taught you?

Well, to Word it doesn't.

You can be sure that the English teacher will disagree but here's the scoop.

Word considers a paragraph to be the text between two paragraph marks.

Okay, so I can already hear you asking... Paragraph marks?

Yep. They look like this.

You've never seen that in your Word documents, have you?

No, I'm sure you haven't, but let me assure you, they're in your document. They're just one of the many hidden marks Word puts in indicating spaces, Enters, tabs, etc. You may not see them, but believe me they exist.

Basically, Word inserts a paragraph mark anytime you hit the Enter key.

For example, if you're making a list of items, each item becomes its own paragraph every time you hit Enter.

Why do you care?

Let me tell you, there are a lot of instructions and references to a paragraph in Word. As I've worked with people I've noticed one thing—they usually see a paragraph only in the traditional format. Because of this, single word lists just don't register in their thinking process.

The result?

Put simply, they're often confused with instructions. It's hard to follow instructions when you don't know the definitions (at least Word's definitions) of the words.

So, now that we're clear on what Word means, let's move on to a cool trick for all your paragraphs.

Office Tip of the Day

Quick Paragraph Relocation In MS Word

Do you sometimes find yourself highlighting entire paragraphs in a Word document for relocation?

(Keep in mind that anytime you hit the Enter key you've finished a paragraph and are creating a new one, so... as we discussed above, "paragraphs" in Word could be as small as a single word in a bulleted list.)

What do you do?

I bet I know—you first highlight the entire paragraph, then you have to use the mouse to grab and hold the paragraph and—still using the mouse—you run the pointer up and down the document to find the "right place" to drop the paragraph.

Then when you need to move something else you start the process over again, right?

Whew!

That's a lot of repetition.

Here's a mouse-less, 3-key solution to the situation that you've just got to love.

Next time you need to move an entire paragraph try this little trick.

Put your cursor in the paragraph to be moved.

Now hold down the Alt + Shift keys.

(Here's the move—don't blink, you'll miss it.)

Press the up or down arrow, whichever direction you need to move your paragraph.

That's it!

Each time you press an arrow (while still holding Alt + Shift) your paragraph is moved one paragraph up or down.

To move something a long ways simply hold down the arrow and watch it go.

Oh yeah, one more thing, did you notice that you didn't have the select the whole paragraph to make the move? Word automatically grabs the whole thing and takes it along for the ride. (Cool!)

Way easier than any other moving trick I've ever used!
