AutoFormat In MS Word

Ok, so if you’re with me here then you must be ready to get down to the business of MS Word’s AutoFormat.

So… let’s delay no longer.

Obviously, the very first step is to open the document that needs to be formatted.

Next you’re looking to start the AutoFormat feature—that’s the Format menu, AutoFormat choice.

The AutoFormat will open where you’ll need to make a few decisions.

At the top you’ll need to decide if you want Word to just run through the document and complete the formatting in one quick pass or if you want Word to show you each formatting change in the document. The second option allows for you to accept or reject each change individually.

In the center you need to tell Word what type of document it’s trying to format. Choose the appropriate type from the drop down list.

In the bottom right corner you should notice the Options button.

Clicking Options will open the AutoCorrect window to the AutoFormat tab.

On this tab you have some choices as to how Word will try to format the document.

Make sure items you want Word fixing are checked and uncheck any items that you don’t want Word to use.

Click OK in the AutoCorrect window.

You will be returned to the AutoFormat window.

At this point you’re ready to begin.

Click the OK button in the AutoFormat window.

If you chose for Word to make all changes without review, you’ll immediately be sent back to your document with all changes complete.

Should you not like the new formatting you can either click the Undo button (Ctrl + Z) to revert to the old formatting or you can go through the document and “tweak” the new look to what you need.

If you chose to review all changes you’ll be given another window.

You can click on the Style Gallery button to pick a format for the document.

On the left side you’ll find a list of template names and on the right a preview pane.

Simply click on a template name and a preview of your document in that template will appear.

If you find one you like make sure it’s selected and click OK.

You’ll be returned right back to the same AutoFormat window you left.

On the upper right side you can choose to Accept All changes or Reject All changes with just the click of one button.

If you still want to see each and every change then click the Review Changes button on the bottom left.

Another, smaller, window will open.

This window will show you each and every change when you use the Find buttons located in the upper right corner.

To the left of the Find buttons a description of the change you’re currently working with will appear as you move through the document.

For any change you don’t want to keep you should click the Reject button in the bottom left corner. (If you change your mind on this one you can click the Undo button to the right—it will become available once you use the Reject button.)

When you’ve reviewed all changes and rejected anything you dislike, click Cancel.

You’ll be returned to the AutoFormat window.

This time if you click Accept All you’ll be accepting all changes that you didn’t reject through the review process.

As expected, you’ll instantly find yourself back in the document.

A new and improved document that’s consistently formatted to do some justice to all your hard work!
