Fixing Copy/Paste Formatting Problems In MS Word

Monday, August 4th, 2014 by | Filed Under: MS Office Help, MS Word, Quick Tips

Ever tried to copy and paste some text in Microsoft Word and ended up with weird formatting that you can’t seem to fix? Unwanted bold letters or indentations?  It’s certainly happened to me more than once, so I was glad to find out a quick trick to stop that from happening.

Here’s how it works:

Lets say I want to copy this piece of text. I highlight it and press Ctrl + C  or right-click and choose Copy.

When I want to paste in Word, I press Ctrl + Alt + V instead of Ctrl + V to paste and I get this Paste Options window. Choose unformatted text and all formatting will be removed.

Give it a try!

Good one! I do a similar trick. I Keep Windows Notebook open, and copying from the web, I paste it to Notebook, then Ctrl-A, Ctrl-C, then move to the destination and Ctrl-V. . . It is quick.

I’ve never had this problem but find all your keystrokes to be a lot of work and hard to remember, Why not highlight/rt click/copy and then select the new location followed by rt click, select the paste specialty/click?

I’m with you Gary, have used the mouse with my right hand for years. Never could get used to all that ‘speed dial’ when the ‘drop down menus’ are right under your finger.

I still have a problem with copy/past between Word and Outlook. The formatting switches to all caps. The only work around that I found is to paste special and select rich text.

    Example from Word 2010:

Now is the time for all good men to come to the aid of their country.

This is how it appears in Outlook:
