MS Outlook: 1 Contact With 2 or 3 E-mail Addresses

Many of us have multiple e-mail addresses… one for home (friends and all the “good stuff”), one for work and yet another for when you’re forced to give one to sign up for something but don’t want all the clutter in with the rest.

It then follows that there are times when you add a contact to Outlook and you want to enter several addresses for the same person.

Sounds simple enough…

We’re off to the Contact section of Outlook, New Contact button and we’re faced with this:


The first time I tried to enter two addresses for the same person and realized that I only had one E-mail address field I decided to try doing what we do with messages.

When addressing a message to multiple recipients we separate each one with a semi-colon (;).

Sounded good to me… too bad Outlook didn’t like it.

As I frowned, removed one of the addresses and thought that there was no way I was putting the same person in as two different contacts… lightbulb!

The answer is so obvious that it’s easily overlooked. The E-mail label for the field has a down arrow on the right.


If you click that arrow then you’ll see that Outlook gives you space to enter 3 addresses.

Simply choose a different field (E-mail 2 or 3).

You’ll then have a blank field again where you can enter the next one.

One contact = multiple e-mail addresses.

    Thats great, but when addressing an email to this contact, how do we now select which email address to send the email to?

    Yeah, when I have a contact with two addresses, “Compose Mail” will take the first one alphabetically. I want to designate one as primary and the other as secondary, or be able to choose which of the two to use for a specific message.
    Very lame setup by Microsoft once again.

    I agree with JimE. I have many customers with two email addresses, some of which also exist for other personnel at their businesses. I can put email 1, 2 and 3 into the contact record, but Outlook changes the “Display as” info to read the name of another person with that email address. And when I select a contact with two or more emails in the “New E-mail” dialog window , there is no way I can find to display the email address that Outlook wants to send it to.
    Does anyone out there have a document on how to make use of this feature of one contact with multiple email addresses, that says how to use it to send an email to any specific address of the up-to-three addresses in the contact’s record? Thanks.

    It would be nice if someone would answer the question regarding how to send an email to all the addresses listed in a contact or how to select which email addresses within one contact that you need to send an email to.

    in the email field for the Contact info I just enter both emails. Seems to work for me. Example:

    Address 1:,

    Adress 2: blank
