Don't Tell Me. Show Me!

Today, I'd like to point out what I think is one of the most useful things I've found MS Office 2007 doing for me.

In older versions of Office, if you were making a formatting change, you'd have to change the settings, see if you like them and if not, proceed to undo or change them again.

If you really weren't sure what you wanted, it could be quite a pain. You had to complete changes over and over again just to see the different possibilities in the file you're formatting and make a final decision.

So, as you can imagine, I was quite pleased to notice that Office 2007 gives you a peek at the way your changes will affect your current work, without actually making the changes permanent.

So, the next time you're in one of these programs, take a quick minute to check out this feature!

Let's take a look at an example in MS Word.

Suppose you wanted to change the font of the document you're currently working on.

To see a preview of how the document will look, without actually making the change, you would first highlight the text to be changed (maybe a paragraph or two).

With the text highlighted, you'll now go to the Font list on the Home ribbon and drag your mouse pointer through the list.

It's at this moment that you need to pay attention to your document, as well as, the font list.

You'll see that the highlighted text changes as you choose different fonts, giving you a preview where it really counts: in your document!

If you decide against a change, simply pull the mouse pointer out of the list and things will be returned to the way they were, without you having to undo a single thing.

If you pay close attention, you'll find that the Office 2007 programs do this with many formatting type choices for your files. The only way to know which ones will give you a preview is to slow down and pull some of your focus off of the actual formatting choice lists and keep an eye on the text or data itself. Happy previewing!
