Using Word’s Hyperlinks With bookmarks

On Tuesday we covered MS Word’s bookmark feature—all in all, a pretty quick way to navigate through large documents.

But… wouldn’t it be wonderful to have the ability to set up links within the document so you can jump from location to location without all the Go To stuff?

You know, like a web page—you click on a marked link and poof! you’re taken to a new location.

Could be a handy trick for sending you back to a table of contents in a document from the end of each section.

Or, if you create your own table of contents (instead of having Word create it for you), linking the table entries to the appropriate sections in the document could be a huge navigation time saver.

Wouldn’t it be nice to know how to make all these links yourself?

Yeah, I thought so too. I’ve done a few “hefty” papers in my time and I always seemed to be scrolling here and reversing back to there. I wish I had thought of this simple trick—bookmarks combined with hyperlinks could have saved me a lot of scrolling headaches.

So, you already know how to set the bookmarks (see the July 13, 2004 issue of MS Office Tips for more information about bookmarks) once that’s done you’re ready to venture into the hyperlinks.

To begin, select the text or object that will become the hyperlink (the object to click on, not the destination).

Now you’re looking for the Insert menu, Hyperlink choice. (Ctrl + K also opens the Hyperlink window.)

If you’re using Word 97 then your “Insert Hyperlink” window should look like this


To link to a bookmark simply go to the bottom section, “Named location in file” and click the Browse button.

This will open your bookmark window where you can select the name of the bookmark you want to link as the destination.


Once you’ve selected the correct bookmark Click the OK button.

You will be returned to the Insert Hyperlink window where you’ll need to click OK.

With all this done you should be back in your document.

If you started with highlighted text then you should notice that it’s now a different color and underlined – just like the hyperlinks you’re used to on the web.

I didn’t notice anything different about a linked picture at just a glance.

However, I did find that for both text and pictures that had hyperlinks I would get an information bubble when my mouse pointer was paused over them. The bubble displayed the name of the bookmark to which they were linked.

Now for my readers with newer versions of MS Word… the process starts pretty much the same.

Select the text or picture to which you wish to add a hyperlink.

Again, it’s the Insert menu, Hyperlink choice or Ctrl + K.

Your Insert Hyperlink window should look like this.


If you selected text you should already see it in the “Text to display” field. Don’t change this – if you do it will change the text of your document.

To the right of that is a Screen Tip button. Click this button if you’d like to specify what is displayed in an information bubble when the mouse cursor is paused over the link. If you specify no information then the bookmark name will be displayed.

On the right side you should see a bookmark button. Click it.

This will bring up the Select Place in Document window.


Your bookmarks are listed there along with any other places where you’ve applied heading styles.

Choose your bookmark from the list and click OK.

Back in the Insert Hyperlink window click OK again.

Poof! Back to your document where you’ll find your text looks like a hyperlink (pictures will not look different).

Click your link… yep that’s right, you’re immediately repositioned in the document at the exact location of the bookmark.

Before we go I thought it would be a good idea to discuss how to remove the link.

In Word 97 I found it fastest to right click on the hyperlink, go to the Hyperlink submenu, Edit Hyperlink choice.


Another method is to select the hyperlink (highlight the text or right click on the picture) then go to the “Edit Hyperlink” window. You could use the Insert menu, Hyperlink choice — or — you could use Ctrl + K.

Any way you get there, once the “Edit Hyperlink” window is open click the Remove Link button in the bottom left corner.

Voila! Link removed.

For the newer versions of Word you have a faster, more direct way.

Simply right click on the link, go to the Hyperlink submenu and choose Remove Hyperlink from the list.


Instantly you’ll be returned to the document where you’re minus one hyperlink.

Click – Click – Zoom – Zoom!

No matter how big the document you can be zooming back and forth in no time.
